1. WHAT INFORMATION DO WE COLLECT?

Personal information you provide to us

We collect personal information that you provide to us when you register on the Services, express an interest in obtaining information about us or our products and Services, when you participate in activities on the Services, or otherwise when you contact us.

Personal Information Provided by You. The personal information that we collect depends on the context of your interactions with us and the Services. The personal information we collect may include the following:

  • names
  • email addresses
  • company/organization name

Authentication. We use a passwordless authentication system (magic links sent to your email). We do not collect or store passwords.

Payment Data. We may collect data necessary to process your payment if you choose to make purchases, such as your payment instrument number, and the security code associated with your payment instrument. All payment data is handled and stored by Stripe. You may find their privacy notice link(s) here: https://stripe.com/privacy. We do not have access to your full payment card information.

Service Data. When you use our document storage and AI-powered querying system, we collect:

  • Documents you upload (PDFs and other supported file types)
  • Search queries you make against your documents
  • Project information and organizational structures you create

Service Improvement Data. To improve our search capabilities and user experience, we may collect:

  • Search queries (stored anonymously when possible)
  • Feedback you provide on search results (upvotes/downvotes)
  • Optional: Specific document segments related to your feedback (only when you explicitly choose to share)
  • Search patterns and common query types (in aggregated form)

We use this data to:

When providing feedback, you control whether to include document context with your upvote/downvote.

Information automatically collected

We automatically collect certain information when you visit, use, or navigate the Services. This information does not reveal your specific identity (like your name or contact information) but may include device and usage information necessary to provide and improve our Services.

  • Log and Usage Data. Service-related, diagnostic, usage, and performance information our servers automatically collect when you access or use our Services.

AI-Powered Search

We use AI technology to help you search and retrieve information from your uploaded documents. Important points about our AI usage:

  • We DO NOT use your documents or queries to train AI models
  • Your data is processed to provide search results and improve our search capabilities
  • Document content is processed through multiple AI services (for encoding, ranking, and search) to provide accurate results
  • We may analyze anonymized query patterns to enhance search performance
  • All AI processing is done in accordance with our AI service providers’ privacy policies

3. WHEN AND WITH WHOM DO WE SHARE YOUR PERSONAL INFORMATION?

We may share your data with third-party vendors, service providers, contractors, or agents (“third parties”) who perform services for us or on our behalf and require access to such information to do that work.

Categories of Service Providers we work with:

  • Cloud Infrastructure and Hosting: Web hosting, content delivery, and cloud computing services
  • Database Services: Data storage and database management providers
  • Document Processing: OCR (Optical Character Recognition) and document analysis services
  • AI and Machine Learning Services: Natural language processing, text encoding, search ranking, and vector database providers
  • Payment Processing: Payment and billing management services

  • Analytics and Monitoring: Usage analytics, error tracking, and feature analytics providers

We use minimal cookies and similar tracking technologies to maintain your session and ensure our Services function properly. We do not use tracking cookies for advertising purposes.

5. HOW LONG DO WE KEEP YOUR INFORMATION?

We will only keep your personal information for as long as it is necessary for the purposes set out in this Privacy Notice, unless a longer retention period is required or permitted by law. When you delete your account or documents, we will delete your personal information and files promptly.

Note on Deletion. When you delete documents or your account, we immediately remove the files from our systems. Once deleted, data cannot be recovered. We recommend downloading any important documents before deletion.

6. HOW DO WE KEEP YOUR INFORMATION SAFE?

We have implemented appropriate and reasonable technical and organizational security measures designed to protect the security of any personal information we process. This includes encryption of data in transit, secure authentication methods, and access controls. However, despite our safeguards and efforts to secure your information, no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure.

7. DO WE COLLECT INFORMATION FROM MINORS?

We do not knowingly solicit data from or market to children under 18 years of age. By using the Services, you represent that you are at least 18 or that you are the parent or guardian of such a minor and consent to such minor dependent’s use of the Services.
